CONVERSATIONS

Function
To provide opportunity to record miscellaneous notes related to a specific loan.


Operating Instructions
From the GMS-RLSS Main Menu, select Features, Conversations.  This feature may also be selected from Loan Master files and Loan Activity by clicking on the appropriate icon on the top task bar. 

Conversation Tab

Loan Number            
Enter the loan number or select the appropriate loan from the combo box. 

Conversation #          
An automatic numbering system to track conversations as they are entered.

Date                            
Although the screen defaults to “today’s date” any date may be selected from the calendar. 

Conversation             
Enter the information to be retained, limited to 255 characters. 

Special Icons

Attach/Retrieve Files 
Documents such as Excel, Word or Pdf files may be named and attached to the conversation by selecting the location they reside on your computer or file server. Be sure to Save after doing this. An icon will appear in the lower right corner of your Conversation screen once you have attached a document. Clicking on this icon will allow you to view your document(s). You may then later retrieve them by selecting from the list. To delete the attached document, select it from the list and tap the delete key on your keyboard.

If you enter a number of months here, when accessing a loan through the Loan Master or Loan Activity screen that has had a conversation entered within that timeframe, the most current conversation will appear at the bottom of the screen.

Things You Should Know
  • Conversations may be entered, edited, printed, or deleted with no impact on the Loan Master file or Loan Activity. 
  • If conversations are deleted, the conversation number attached to the deleted conversation is also removed.  If a report of conversations is printed and a number is missing, it indicates a conversation has been deleted. 
  • The Conversation must be saved before attaching a document. 
  • From the Features Menu and Loan Master files, the most recently recorded conversation will appear first. You may enter, edit, or delete Conversations from these two areas. 
  • When Conversations are selected from the Loan Activity menu, a grid showing every conversation will appear for your viewing. Conversations may not be entered, edited, or deleted from Loan Activity. 
  • To exit Conversations when viewed from Loan Master files, select the Return to Home icon.
