CONFIRMATION LETTERS

Function 
To produce a letter including borrower’s name, address, account number, and the loan balance as of a specified cutoff date, to be mailed in accordance with standard accounting procedures. An option is available to also include loan closing date, loan amount, maturity date, payment amount and frequency, and interest rate.


Operating Instructions

Confirmation Letters tab

Cutoff Date 
Select the date from the calendar for which the loan balance is to be confirmed.

Do you want to print confirmation letters for all loans within the database? 

Yes - All loans will be included

No - You may use the following questions to narrow the search criteria

Do you want to print confirmation letters for all loan funds? 

Yes - All funds will be included in the search criteria

No - Select the specific funds to be included; multiple funds may be selected by holding down the ctrl key and clicking on subsequent funds to be included.

Have you established an optional field to determine which loans are to receive confirmation letters?

Yes - If selected, a drop menu will appear allowing you to select the optional field to be searched for a response of Yes.

No - A drop menu will appear asking you to select the loans to be included in the search criteria. Multiple loans may be selected by holding down the crtl key and clicking on subsequent loans.


Include Additional Loan Master Information: 
Checking this box will cause the loan closing date, loan amount, maturity date, payment amount and frequency, and interest rate to be also be included.

By Status 
Placing a checkmark here will allow you to select which status code(s) to include.

Setup tab
Produces a screen allowing entry of the auditor’s name and address to which the letters are to be returned, along with the signer’s name and title.

Step 1. After completing the above information, click on Print icon. Confirm data on this report is correct.

Step 2. Select Print Confirmation Letters icon. Your letters will print to the screen allowing you to either send them to the printer or export them.

Special Icons
Print Confirmation Letters 
Produces on-screen letters for printing. This feature cannot be selected until Print is completed.

Things You Should Know

• Confirmation Letters Report (Print icon) is included for your protection to avoid printing letters for inappropriate loans. It should be carefully reviewed for accuracy prior to printing the letters. 
• If you wish to change your selection criteria, be sure to click on Clear Selections first. 
• The export feature may be used to send the letters to word processing, which will then allow you to edit the letter as desired. Using this feature, the letter can be formatted to fit on letterhead stationary if desired.
